About Our Opportunity


The Clerk provides administrative support to the Department of Education, Teacher Certification Section. Staff and Stakeholders of the Division include internal staff of the Teacher Certification Section, broader staff divisions within the Department of Education, external Departments within the Nova Scotia Provincial Government (including Department of Finance) public school teachers, the Nova Scotia Teachers Union, Nova Scotia Regional Centres/School Board representatives, pan Canadian School Board representatives, pan Canadian Teacher Certification authorities, and the public.


The Clerk also provides extensive client service by telephone, email and mail. As the Clerk you have solid working knowledge of the Education Act and Governor-in-Council Education Act Regulations related to the process of teacher certification while responding to queries, offering assistance and providing direction.


This position will report to the Assistant Registrar, Teacher Certification.

Primary Accountabilities


  • Ensures Accounts Receivable by collecting fees, providing receipts, data entry and bank deposits.
  • Ensures the Teacher Certification application fees are properly secured; performs reconciliation of fees to the applications received; prepares a daily cash report; verifies and balances information; generates reports; obtains appropriate verification and signature for submission to the Finance Section.
  • Provides administrative support to the Teacher Certification Team: Administration of the STAR/STOR records management system. Receives and files information submitted by Teacher Certification applicants according to STAR/STOR directives.
  • Teacher file research/preparation: Retrieves and researches teacher files, compiling the necessary information to allow for a complete review of all documentation that has been submitted for applications.
  • System data entry/integrity: Enters and maintains client information pertinent to the clients' certificate applications in a management system (CEDAR). Accuracy in data entry is critical as this database information is tied to the teacher's certificate level and salary.
  • Statistical reports: Creates, updates and maintains spreadsheets used by management in providing statistics to various groups.
  • Generates reports
  • Researches and prepares transcripts as requested for Nova Scotia High School Provincial marks, Nova Scotia Summer School marks, and Nova Scotia Teacher's College transcripts.
  • General Administrative responsibilities

Qualifications and Experience


As the ideal candidate, you may hold certification as a teacher or have experience related to program review and credential assessment. An acceptable equivalent combination of training and experience may be considered. Ability to conduct work in French is considered an asset.

  • Experience working with the public in a professional customer service-oriented environment.
  • Ability to interpret and apply regulations, policies/procedures for the purposes of approving documentation including applications and reports.
  • Ability to apply sound judgement and make effective decisions.
  • Excellent interpersonal skills with the ability to work collaboratively as part of a team.
  • Strong analytical skills and attention to detail.
  • Ability to work independently with a high degree of initiative.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Post-secondary education in a related field.

Working Conditions


Most of your time is spent in a comfortable office setting, with minimal in province and out of province travel required under normal working conditions.

This is a Term/Temporary/Casual employment opportunity with an anticipated end date of September 5, 2022. The appointment status (‘term’, ‘temporary’ or ‘casual’) is dependent on the start date of the successful candidate.

Pay Grade: CL 18

Salary Range: $1,579.09 - $1,766.79 Bi-Weekly
